Schedules of Condition are quite normal practice in commercial properties and in fact we regularly carry out Schedules of Condition on offices, warehouses and shops. Schedules of Condition can take many formats and are tailor made and do help provide landlord's with a structured way to look after their properties and also to deal with tenant concerns.

How can a Schedule of Condition help you and your tenants?

A Schedule of Condition can establish the existing condition of the property, highlight areas where improvement of main issues can be carried out and establish a priority list which you can then agree with your tenants and also establish who is responsible for the various issues.

We have thermal image cameras which enable us to identify areas of heat loss. If you are interested in improving your thermal characteristics of your property do not forget that this is likely to be a requirement of landlords in years to come as regulations get more and more stringent.

What type of property do you own?

We are often asked what type of property can Schedules of Condition work with and our answer is any multi occupied property. With older properties they have often been converted into flats from large Victorian and Georgian houses and we have equally dealt with mansion type flats which were built around the War Years.

We are comfortable and happy to deal with the modular and Non Traditional constructions that were built after the War and also very comfortable with the more modern construction properties. All of the different types of property construction have their advantages such as older properties tend to have harder wearing fixtures and fittings and can cope with a fair amount of use and abuse which a modern property simply cannot although it will no doubt have a better thermal efficiency

Planned Maintenance

There is a concept known as Planned Maintenance that many people are not aware of which is where you plan the future main tenance of a property. We have also been involved with Planned Development.

 

The Planned Maintenance that we have been involved with consisted of a large portfolio of properties. Without a plan and a financial cash flow considering property issues and property problems would mean bankruptcy.

Planned Development

We have also been involved with a Planned Development which is where we assess the potential of all the properties that you have which could be for rear extensions being added or vertical extensions in the form of loft conversions and loft extensions.

We as Surveyors can not only look at the possibilities and the most cost effective solutions but also consider how this can affect the capital value of your estate (allowing re-financing and further projects or new property purchases and carrying out Planned Maintenance!) and can also be related back to rental value; a concept and a way of looking at finance that most architects never dream of. We balance the costs against the potential income.

Reactive Maintenance

Reactive maintenance need not be a nightmare as we can help to plan organ ised systems. In the past we have dealt with everything from Approved Contractor Systems to on larger estates where long term contracts are carried out on Schedules of Rates to the smallest of portfolios where having a system in place that the tenants know about can avoid you from getting Environmental Health Notices. When work is enforced, speaking from experience, this can be the most costly of work you can be involved with.

Sinking Funds

We should start by explaining what a sinking fund is; a sinking fund relates to regular payment for future maintenance which is usually for large items such as major roof repairs. We are aware of one block of flats which took over two years to come to an agreement on major roof repairs and during that time everyone was unable to sell their flats on as the maintenance dispute was putting prospective purchasers off.

 

The Landlord and Tenant Act and Leasehold Tribunals

There are of course various regulations relating to leasehold properties which state items which can and cannot be carried out by landlords and tenants.
